We are looking for a proactive and organized HR & Office Assistant to support daily HR administration and hiring coordination, as well as general office operations and day-to-day administrative tasks. This role is ideal for someone detail-oriented, reliable, and eager to grow in HR and office administration within a fast-paced environment and a supportive team.

Responsibilities

  • Assist with onboarding logistics: prepare welcome materials, coordinate access requests, support first-day readiness, and maintain checklists in coordination with internal teams

  • Maintain HR records and documentation, ensuring accuracy, confidentiality, and proper handling of information

  • Support recruitment activities: publish job ads on LinkedIn and relevant platforms and assist in promoting open roles through professional networks

  • Schedule interviews, communicate with candidates, and follow up throughout the hiring process

  • Assist with recruitment administration, including candidate tracking, documentation, and coordination with hiring managers

  • Support day-to-day office operations: manage supplies (snacks, fruit, water), office inventory, and general office arrangements

  • Coordinate external service providers (e.g., cleaning), including communication, scheduling, and payment follow-ups

  • Help ensure the office remains well-maintained, functional, and welcoming

  • Assist in organizing company events (online/offline), including vendor research, quotations, bookings, and logistics coordination

  • Support business travel arrangements (flights, hotels, visas, and accommodation) for employees and guests when required

  • Assist with employee engagement initiatives, including birthday and anniversary gifts and online/offline recognition and celebrations

  • Collect, organize, and submit monthly office expenses for finance reporting; and perform other duties relevant to this role

Requirements

  • A university degree in Human Resources, Business Administration, Office Administration, or a related field is preferred

  • At least 1–2 years of experience in office management, administrative coordination, or an HR/Office Assistant role (experience in a fast-paced environment is an advantage)

  • Strong working knowledge of office tools (Google Workspace, Notion, Slack, HRIS, etc.)

  • Basic understanding of Cyprus labor law and HR practices, with a willingness to learn

  • Experience coordinating vendors and service providers (e.g., cleaning, office supplies, maintenance) is an advantage

  • Ability to handle confidential information with discretion and professionalism

  • Excellent interpersonal and communication skills

  • Strong attention to detail, organizational skills, and the ability to manage multiple priorities

  • Proactive, friendly, and service-oriented attitude with a “can-do” mindset

  • Fluency in English; Greek is considered an advantage
